Fixa EWA — Terms and Conditions

These Terms and Conditions govern the use of Fixa’s Earned Wage Access (EWA) service, which enables eligible employees to access a portion of their accrued but unpaid wages before payday. By using the EWA service, you (“User”, “Employee”) agree to these Terms. If you do not agree, you should not use the service.

1. Service Description

Fixa’s EWA service allows employees to:

  • Request a portion of their earned wages at any time.

  • Receive funds either instantly or within 24 hours, depending on the chosen option.

  • Track their remaining salary balance after each withdrawal.

EWA provides early access to wages you have already earned. Depending on your employer’s project, an advance may be funded directly by Fixa or by a licensed financial partner (see Section 7). Where an advance is funded by a financial partner and/or reported to a Credit Bureau (see Section 6), it may be treated as a credit facility.

2. Eligibility

You must meet the following criteria to use EWA:

  • Be an employee registered on the Fixa platform with a verified identity (KYC).

  • Have an active mobile money or bank account linked to your Fixa profile.

  • Have sufficient earned wagesfrom approved attendance to cover the requested amount. Only wages from attendance your employer hasapproved count toward your available balance.

Employers must enable EWA for their workforce to activate this service.

3. Request Limits

  • Minimum request amount: RWF 5,000

  • Maximum request amount: RWF 200,000 (subject to company policies)

  • Employees may request up to50% of their earned wages from approved attendance. Attendance that has not yet been approved by the employer does not count toward the available balance.

  • The number of requests per pay period may be limited by employer policy.

These limits may be configured by Fixa and your employer and may vary by project.

4. Fees

  • EWA requests are subject to a service fee disclosed prior to confirmation.

  • Instant Pay requests incur an additional premium fee.

  • Fixa maintains a transparent fee structure, with all charges clearly displayed before transaction approval.

5. Disbursement & Repayment

  • Funds are disbursed to the employee’s linked payment account (e.g., mobile money, bank).

  • The requested amount plus any applicable fees is automatically deducted during payroll processing.

  • If payroll does not fully cover the deduction, the remaining balance may roll over to the next cycle per employer policy.

  • Where your advances are reported to a Credit Bureau (see Section 6), an unpaid or overdue balance may be recorded as arrears and may affect your credit record.

6. Credit Information & Credit Reporting

To provide EWA, andseparately from your acceptance of these Terms, Fixa requires your specific consent to:

  • access your credit information; and

  • share information about your advances and their repayment with the Credit Bureau, in accordance with applicable law.

This consent is separate from, and additional to, your acceptance of these Terms and of Fixa’s Privacy Policy. You may use other Fixa services without granting it, but EWA (and any other service that depends on credit reporting) will not be available without it.

You maywithdraw this consent at any time in the app settings. Withdrawal disables EWA going forward but isnot retroactive: information already shared with the Credit Bureau may be retained and processed as required by law.

Granting this consent in the app or via USSD isrecorded with a timestamp and has the same effect as a signature.

7. Third-Party Funding Partners

Your advance may be funded by Fixa or by a licensed financial partner, depending on the funding arrangement for your employer’s project. Where a partner funds your advance:

  • the advance may be registered as a credit facility with that partner;

  • Fixa shares the information necessary to register and service the advance (and its repayment) with that partner, under a data-sharing / data-processing agreement; and

  • Fixa may charge a transaction fee on the advance under its agreement with the partner (see Section 4).

The category of recipient is a licensed financial services partner.

8. Cancellations

Once an EWA request is processed, it cannot be canceled or reversed.

9. Employer & Compliance

  • EWA does not affect an employee’s payroll or employment status beyond the payroll deduction.

  • Employers are not required to manually approve each request; eligibility is verified automatically.

  • Fixa is a registered Data Controller with Rwanda’s NCSA and complies with all applicable financial and data protection regulations.

  • In providing EWA, Fixa may share personal and financial data with the following categories of recipients, each under an appropriate legal basis and agreement: theCredit Bureau, andlicensed financial partners that fund advances (see Sections 6 and 7).

10. Data Privacy & Consent Withdrawal

All personal and financial data is processed in accordance with Fixa’s Privacy Policy and Rwanda’s Law No. 058/2021 on the Protection of Personal Data and Privacy.

The credit-information and Credit Bureau consent described in Section 6 isspecific and separate from your acceptance of these Terms, and iswithdrawable at any time. Withdrawing it disables EWA going forward and is not retroactive, as set out in Section 6.

11. Limitation of Liability

  • Fixa is not liable for delays caused by third-party payment providers.

  • Fixa’s liability is limited to the service fees paid for the transaction in question.

12. Termination

Fixa reserves the right to suspend or terminate access to the EWA service in cases of:

  • Fraudulent activity,

  • Policy violation, or

  • Employer discontinuation of the service.

13. Governing Law

These Terms are governed by the laws of the Republic of Rwanda.
